Pre-arrival guest-registration checklist

A practical checklist for hotels, villas, homestays and short-term rentals in India. Work through it per booking; it is not a legal-compliance certification.

Official platform references checked 10 October 2026 · Not legal advice

1. Confirm the stay

Confirm the correct property or unit, booking reference, dates and expected guest count. Do not copy an invitation from another property without checking its context.

2. Check what you may request

Identify the applicable registration requirement. For reservations on Airbnb, review platform policy and required listing disclosures before requesting an external form, contact verification or identity documents.

3. Explain purpose and support

Write a short explanation of the necessary details, the purpose and the review process. Provide a support path for guests who cannot complete the digital journey. Keep marketing consent separate.

4. Prepare the appropriate journey

Confirm that Indian and foreign guest information requirements are relevant to the stay. Verify the invitation’s booking/property context and expiry. Do not treat a generic demo URL as a production booking invitation.

5. Review submitted information

Check required fields and correct extraction mistakes where permitted document collection applies. Record pending review rather than presenting contact verification as document authenticity.

6. Assign responsibility

An independent host can review directly. An operator should define who reviews each property’s arrival in their own process, without assuming unverified software team permissions.

7. Arrange access separately

Confirm keys, arrival instructions and any physical checks independently. A completed guest form is not an automatic lock code, smart-lock integration or guarantee of entry.

8. Close the loop

Confirm unresolved details, applicable foreign-guest reporting responsibilities and necessary retention/deletion actions. If a guest cannot comply digitally, escalate to the host’s support process rather than silently marking the record complete.
