Guest registration for rental hosts: a practical guide
An India-first working guide for independent hosts and property managers. The examples below are fictional; they illustrate decisions rather than customer results.

Registration is not physical self-check-in
A guest record answers who is staying, where and when. Keys, lock codes and arrival instructions answer how they enter. Keep these jobs separate, and never imply that completing a form automatically opens a door.
Begin with the reason for the request
Before collecting anything, identify the applicable registration requirement and platform restrictions. For Airbnb bookings, review the current off-platform policy and required advance disclosure. Convenience alone should not be treated as universal permission for external ID collection.
Explain the journey in plain language
Tell guests which details are needed, why they are requested, who will review them and how they can get assistance. Avoid forcing guests into an account or collecting information for unrelated marketing. Any mandatory contact verification needs its own permitted basis.
A villa-host example
At fictional Tamarind Villa, two adults arrive for a weekend. The host checks the applicable requirements, confirms the booking context, explains the request and reviews the details before arrival. The demonstration makes no claim that every stay requires an ID upload.
An operator example
At fictional Courtyard Apartments, an operator keeps Apartment A and Apartment B arrivals distinct and assigns a reviewer through their own operating process. This is a recommended organizational practice, not proof that CheckInd currently provides portfolio permissions or an automated channel feed.
Review, do not simply accept extracted text
Where documents may be collected, OCR can propose text for correction. Check names, dates and document details against the permitted source. An OTP proves control of a contact channel, not that a passport, visa or identity document is genuine.
Keep foreign-guest responsibilities separate
Determine the property’s applicable Indian reporting requirements and who handles them. Use the C-Form workflow as preparation for review, not a promise of automatic filing or compliance. Obtain qualified guidance when obligations are unclear.
Finish with an organized record
Keep only what is necessary, restrict access and follow the retention and deletion rules that apply. Handle physical access and arrival communications separately. Before a live rollout, verify the product’s actual privacy, security and delivery settings.
